What is the purpose of this privacy notice?

This notice explains how we (and any of our related third parties and affiliates worldwide) use, process, store or share your personal information. This policy clarifies what information we collect about you why, what for and on what basis.

This policy applies to you to the extent you have expressed your interest for an opening within our team, irrespective of the country you are located in throughout the process.

We act as “controller”, meaning we collect your information and we make the key decisions regarding how it is processed.

What personal information do we collect about you?

We collect personal information through the application and recruitment process and/or during on-boarding, either directly from you (that includes automatically collected information from your devices such as your IP address, your location, mobile network information, web log data) or third parties such as your former or current employers, an employment agency or background check provider.

If we offer employment to you under any type of contract, you will be notified of our processes that will then apply to you over and beyond this policy.

We will collect, store, and use the following categories of personal information about you:

  • Personal contact details such as name, title, home address, telephone numbers, and personal email addresses;

  • Preferred pronouns;

We will only use your personal information to assess your application (in effect we process data in order to and prior to entering into a contract with you)or as is required by law.

We might also collect and process sensitive data such as ethnicity, sexual orientation and similar for equal opportunities monitoring purposes.

You are under no obligation to share any data with us, however, if you do not provide the information, we may not be able to process your application properly, or at all.

When will we share your personal information?

We will share your personal information with recruitment service providers such as Credence who perform background checks, suppliers and their subcontractors or / and other third parties where required by applicable law or as necessary for our business purposes and legitimate interests specified above.

Ourselves and all our third-party service providers are required to take appropriate security measures to protect your personal information in line with our policies and applicable law. We do not allow our third-party service providers to use your personal data for their own purposes. We only permit them to process personal information for specified purposes and in accordance with our instructions.

We will not transfer your data outside the European Economic Area.

How do we keep your personal information secure?

We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.

We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.

How long do we retain your personal information?

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

We anticipate to hold your data on file for 2 years after the end of the relevant recruitment process. At the end of that period, your data is deleted or destroyed. If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personnel file and retained during your employment.

What are your rights in connection with your personal information?

Under certain circumstances, by law you may have the right to, among others,:

Request correction of, access to, erasure of your personal information, object to processing of your personal information, request the restriction of processing of your personal information or receive copies of your personal information.
